FF&E Schedules by Room Type, Area & Item

We organize the package by room type, public area and item reference. Room counts set the quantities for repeated guestroom pieces; lobby and dining items are listed by their locations. Each reference connects the designer’s specification with the product being quoted.

Guestroom Furniture & Public-Area FF&E

Guestroom Furniture, Lighting & Furnishings

We coordinate headboards, nightstands, desks, seating and selected lighting or furnishings against each room plan. Bed sizes, desk clearances and fixture locations identify details to resolve before selection and pricing. The supply list shows the pieces included for each room type and the quantity of rooms using them.

Furniture Categories

Lobby, Dining & Shared-Area Furniture

We organize reception seating, dining tables and lounge furniture by their location and use. Sizes, finishes, construction and any custom details are reviewed by item. Adjacent lighting can be included in the package; floor finishes, building systems and contractor work retain their own stated responsibilities.

Sourcing & Procurement

FF&E Finish Samples, Mock-Ups & Comparable Quotes

We connect each item’s specification with its finish reference, sample decision and quoted selection. When an alternative is proposed, the comparison identifies what changes in the product or supply terms before the price is accepted.

Finish & Upholstery References

The selection identifies the wood finish, fabric, metal or other exposed surface for the relevant item. A sample decision applies to that item and surface, so a chair fabric is carried into the chair specification without changing unrelated seating.

Sample Pieces & Mock-Up Rooms

We define the pieces, finishes, review location and installation responsibility for any sample or mock-up package before it is ordered. Feedback on proportions, finished details or materials is connected to the affected bulk items before they proceed.

Specified Items vs. Proposed Alternatives

The comparison identifies differences in dimensions, materials, construction, hardware and included work. It uses the same quantities and extent of supply, so the price difference can be traced to a product or supply change.

Hotel Plans, FF&E Specifications & Receiving Conditions

We use the room information and product brief to define the package and identify missing decisions. Site access and receiving conditions also affect packaging and delivery planning, even when the item selections are already settled.

FF&E Approvals, Production & Delivery Handoffs

We connect item selections with the decisions needed for production and dispatch. Unresolved finishes, custom details and sample comments identify which items still need approval. The agreed room and batch plan sets the priorities for those decisions.

  1. FF&E Item Selections & Approvals

We review the selections and quote against the room-type and public-area lists. Custom details, sample work and proposed alternatives are identified by item, with the decisions needed before the bulk package proceeds.

  2. Coordinate Production & Inspection

We coordinate production around the agreed products and required approvals. The agreed inspection work and unresolved product issues are reviewed before the affected batch is released, with the relevant room or area references retained.

  3. Packing Lists & Phased Hotel Deliveries

The agreed packing-list and labeling arrangement uses room, area and item references. For phased dispatch, the batch plan identifies the products being shipped and the receiving party. Port arrival, hotel delivery, unloading and internal movement are assigned as separate handoffs.

Hotel-side unloading, movement through the building, unpacking and installation are separate responsibilities from product supply. Our proposal identifies any included guidance or on-site work and the tasks retained by local contractors.

FF&E Pricing, Alternatives & Changes

The itemized quote prices the selected products and quantities, with custom work, samples, packaging and delivery listed as included or separate work. A finish change, substitute or revised room count is reviewed against that same basis.

Itemized Products & Supply
Each quoted item has a description and quantity linked to the relevant material or product reference. The proposal distinguishes product supply from coordination and other work, and identifies any allowance that still needs a final selection.
Custom Details, Samples & Mock-Ups
Custom furniture details, material samples, sample pieces and mock-up-room work are identified as part of the proposal. Their cost and sequence depend on the selected products and the work involved. Design or sample fees are not assumed to be included in the bulk-unit price.
Delivery Batches & Order Changes
Split shipments, storage, special protection and additional handling affect the delivery terms. Changes to a finish, item or quantity are reviewed against the order stage, revised price and production or shipping impact. The change is agreed before the affected additional work proceeds.

Hotel FF&E Procurement Questions

Which products can be included in the FF&E package?

Guestroom and public-area furniture, selected lighting and related furnishings can be included. The itemized proposal lists the products and work covered. OS&E supplies, building systems, specialist equipment and on-site installation require separate agreement.

Can you work from our designer’s FF&E specifications?

Yes. Room plans, item schedules, material references and product specifications provide the basis for the procurement plan. We connect proposed selections to those references and identify items needing further detail. A substitute is presented with its differences for review; it does not silently replace the specified product or finish.

Can a sample guestroom be reviewed before bulk production?

We review requests for sample pieces or a mock-up-room package before confirming the work and cost. Our proposal identifies the pieces, review location, freight and installation responsibility. Comments affecting the bulk order are resolved against the relevant item and finish.

What happens if a finish or quantity changes?

We review the affected items and the stage of the order. A revised selection may change the sample, product details, quantity, price or production arrangement. Work already completed or materials already ordered can limit the options. The effect on the supply plan and delivery schedule is reviewed before a change is agreed.

Can the hotel order be delivered in phases?

Yes, phased dispatch can be planned around rooms, floors or public areas, subject to product readiness and the shipping arrangement. Each batch identifies the included items and packages, the receiving contact and any storage needs. Arrival at the port is scheduled apart from delivery and receipt at the hotel.

Does procurement include installation at the hotel?

Installation guidance or site work is included only when listed in the proposal. Unloading, internal movement, assembly, mounting and electrical connections each need an assigned party. Location, site access, labor and any travel costs determine whether on-site support can be offered.
